Tally on WhatsApp: send ledgers, invoices and payment reminders from the business number automatically
"Ledger bhej do" is the most common message on an Indian B2B business number. Answering it is a two-minute job in Tally, a screenshot and a forward. Done fifty times a day it is a person's job. It is also the easiest automation to justify.
What is needed
- The WhatsApp number on the API without leaving the phone. Coexistence through a connector like NumberBridge gives your server a webhook and a send API while the accountant keeps the app.
- Tally reachable from a server. TallyPrime answers XML requests over HTTP on port 9000 on the machine where it runs. Expose that to your server with a secure tunnel (Cloudflare Tunnel works well) rather than opening the port.
- A small service that maps a WhatsApp sender to a Tally party, pulls the ledger or invoice, renders a PDF, and sends it back as a document.
The three automations
1. Ledger on request
Customer writes "ledger", "statement", "hisab". The service matches the sender's number to the party (keep a mapping table; Tally's ledger has a mobile field you can use), requests the ledger vouchers for the period, renders a PDF with the company letterhead and sends it. Reply inside the 24-hour window, so it is free.
2. Invoice on dispatch
When a sales voucher is saved in Tally, a poller notices the new voucher number, renders the invoice PDF and sends it to the party with a utility template ("Your invoice {{number}} for ₹{{amount}} is attached"). The template is needed because the customer may not have written in the last day.
3. Payment reminders
Weekly: pull outstanding bills by party, send a utility reminder with the amount and due date to parties over the agreed credit days. Keep the owner's approval in the loop for the first weeks: the service proposes the list on the owner's WhatsApp, the owner replies yes.
Keep bank entries moving the other way
The reverse flow is just as useful: a bank statement export is mapped to parties by name and UPI reference, posted as receipt vouchers into Tally with unmatched rows parked under a suspense ledger, and the accountant reviews a short exception list instead of typing a hundred entries.
Pitfalls
- Tally must be open with the company loaded for the HTTP interface to answer. Run it on a machine that stays on.
- Match parties by number first, name second; names in Tally rarely match WhatsApp profile names.
- Do not send a ledger to a number that is not the party's. Make the mapping explicit and let the owner approve new mappings.
- PDF, not image. A document message keeps the file name and prints properly.
NumberBridge supplies the WhatsApp side of this. The Tally side is a few hundred lines; we publish a reference implementation for customers on request.
